Cox Enterprises is hiring a Business Support Specialist to join our team! The Business Support Specialist will report directly to the Senior Vice President, Treasury, Investments & Corporate Finance. The successful person in this role will be ready to learn across a larger finance organization, helping to drive and coordinate projects, secure/manage requirements and resources to bring about the successful completion of our goals and objectives while also providing general administration and coordination of key activities for senior leadership (SVP & EVP finance.)

In this role, the selected individual will be a seamless extension of our senior leadership team, working closely with stakeholders, internal customers, external vendors, and cross-functional teams. This role requires foundational process management skills as it will provide regular facilitation of cross-functional team/s to execute defined deliverables and drive key decisions. The role involves project management, coordination skills, and a willingness to dive deep and take ownership. The right candidate will have the opportunity to learn multiple functions across the enterprise while being heavily involved and engaged across various department initiatives and projects. This role will primarily involve project coordination and analysis, with a minimal emphasis on traditional general administrative support (constituting less than 40% of the role's requirements).

PRIMARY FUNCTIONS AND ESSENTIAL RESPONSIBILITIES:

  • Demonstrated ability to manage complex relationships requiring instinctual scheduling, creative planning, confidentiality, internal and external communication, and an in-depth understanding of our leaders, programs, and initiatives.

  • Learn & navigate various software applications as needed for reporting, storage, status updates, etc. 

  • Support activities to grow and maintain the company's overall liquidity position, including reviewing letter of credit agreements, issuing and amending letters of credit, and supporting the coordination of corporate debt issuances.

  • Assumes primary point of contact to manage debt compliance and other specific projects.

  • Back up the liquidity management processes, including daily cash activities, investments, forecasting activities, etc.

  • Responsible for ad hoc projects and analysis throughout the larger finance organization

  • Establishes and executes management plans for time, cost, scope, quality, communications, risk human resources, procurement, and integration.

  • Leads and coordinates smaller and less complex projects with moderate supervision.

  • Coordinates the resources (internal and external) necessary to complete projects successfully.

  • Prepares and distributes correspondence, including PowerPoint presentations, Excel spreadsheets, and contact database management.

  • Drafts and incorporates relevant feedback for external and internal communications on behalf of leadership.

  • Build relationships with key stakeholders and project resources to drive key decisions and ensure timely completion.

  • Set expectations, manage, and escalate issues and changes.

  • Manage Weekly and Monthly report requirements from various software.

  • Facilitates internal team meetings and coordinates team projects and initiatives.

  • Administrative responsibilities could include managing calendars, arranging appointments and meetings, obtaining meeting rooms, meals, and travel.

  • Processes and codes departmental invoices within our corporate expense system and routes them to appropriate approvers.

  • Monitors departmental budget to ensure accuracy, forecasts, and plans for expenses.

  • Back up the liquidity management processes, including daily cash activities, investments, forecasting activities, etc.

  • Responsible for ad hoc projects and analysis

  • Processes travel expense reporting, incoming and outgoing mail, copying, scanning, printing, filing, and purchasing office supplies.

  • Utilizes computers to access e-mail, electronic calendars, and other essential office support software.

  • Exhibits strong presentation and meeting facilitation, organization, and design.

QUALIFICATIONS:

  • Bachelor’s degree in a related discipline and 2 years experience in a related field; a master’s degree and up to 2 years experience. In lieu of a degree, 6 years of experience in a related field will be considered.
