Supervisor, Vehicle Entry

Position Summary

The VE Supervisor manages the overall operation and administration of Vehicle Entry, Check-in, Imaging, Inspections, and ICC-related functions. This role ensures accurate, timely vehicle data, condition information, inspections, and imaging while leading a team of approximately 15 direct reports. The position partners closely with internal teams, clients, and third-party vendors to meet service level agreements (SLAs), quality standards, and customer expectations.

Core Areas of Responsibility

  • Vehicle Entry / Front Gate operations ensuring vehicles are properly checked in and recorded accurately in Secure Chek-in for the AS400 in a timely manner.
  • Inspections oversight, including Inspector Certification (ICP), accuracy, and quality standards.
  • Vehicle Imaging (Photos) execution, quality control, and auditing.
  • ICC responsibilities as assigned to support operational accuracy and compliance.
  • End-to-end flow ownership and overwatch for vehicles from check-in through imaging, condition reports (CR), and shop staging, ensuring efficient movement and prioritization of both running and non-running units
  • Direct supervision of approximately 15 direct reports, including scheduling, coaching, performance management, and development.

Operational & Leadership Responsibilities

  • Direct and manage all Vehicle Entry, Check-In, Inspection, and Imaging workflows to ensure accuracy, efficiency, and customer satisfaction.
  • Schedule staffing appropriately to match vehicle flow and sale volumes.
  • Recruit, hire, train, and develop VE, inspection, and imaging team members; provide ongoing coaching and performance feedback.
  • Plan and coordinate all skill-based training for inspectors and VE staff, including the Inspector Certification Program (ICP).
  • Ensure employees are given opportunities to advance ICP levels in accordance with program guidelines.
  • Actively engage with all departments at the operating location and field management to ensure compliance with SLAs and delivery of high-quality condition reports.

Quality, Audits & Compliance

  • Perform and oversee Quality Audits in accordance with Manheim QA Program standards, NAAA standards, and company policies.
  • Conduct photo audits, now primarily performed in response to client-raised issues, ensuring corrective actions are identified and implemented.
  • Audit arbitrations within assigned areas, a responsibility transitioning from 4T, allowing 4T to refocus on inspection audits, accuracy, and coaching.
  • Review arbitration results to identify trends, training needs, and corrective actions.
  • Complete physical audits as prescribed by the Manheim Inspections QA Program.
  • Review vehicle condition reports and vehicles with customer/client representatives as needed.

Process Ownership & Vendor Management

  • Maintain ownership of the UCI process, including ongoing maintenance and adherence to standards.
  • Own and manage third-party inspector relationships, ensuring performance, quality, and compliance with Manheim expectations.
  • Forward client-specific requests that fall outside standard Insight ECR guidelines to Operational Excellence for review.

Equipment, Safety & Policy Compliance

  • Requisition equipment, materials, and supplies for the VE department; oversee maintenance and protection of all department equipment.
  • Visibly demonstrate a strong safety commitment by following all safety and health procedures and modeling expected behaviors.
  • Partner with safety leadership in support of Safety Excellence initiatives.
  • Ensure employee compliance with company policies, auction rules, and applicable government regulations.
  • Enforce all company policies and procedures related to employee and customer conduct.

Performance Management & Reporting

  • Analyze work volumes and continuously monitor staffing levels to ensure efficiency, quality, and service excellence.
  • Review departmental performance against key KPIs and metrics; develop and execute improvement strategies.
  • Conduct regular performance reviews with support from Operational Excellence managers.
  • Provide motivation, coaching, counseling, and disciplinary action when necessary.

Collaboration & Culture

  • Partner with market-level support teams including Finance, HR, Lot Operations, Recon, Safety, Security, and Sales to ensure effective and efficient operations.
  • Lead by example, championing Cox/Manheim values and ensuring all employees are treated with respect and professionalism.

Qualifications

Minimum Qualifications

  • High School Diploma or GED and 5 years of related experience
  • OR Bachelor’s degree and 3 years of related experience
  • OR Master’s degree and 1 year of related experience
  • Strong working knowledge of Excel
  • Excellent communication and leadership skills

Preferred Qualifications

  • Experience with arbitrations strongly preferred
  • Experience in automobile auction operations or inspections
  • Knowledge of NAAA standards
  • Degree in a related discipline

Drug Testing:

To be employed in this role, you'll need to clear a pre-employment drug test. Cox Automotive does not currently administer a pre-employment drug test for marijuana for this position. However, we are a drug-free workplace, so the possession, use or being under the influence of drugs illegal under federal or state law during work hours, on company property and/or in company vehicles is prohibited.

Compensation:

Compensation includes a base salary in the range of $55,600.00 - $83,400.00. The base salary may vary within the anticipated base pay range based on factors such as the ultimate location of the position and the selected candidate’s knowledge, skills, and abilities. Position may be eligible for additional compensation that may include an incentive program.

Benefits:

The Company offers eligible employees the flexibility to take as much vacation with pay as they deem consistent with their duties, the company’s needs, and its obligations; seven paid holidays throughout the calendar year; and up to 160 hours of paid wellness annually for their own wellness or that of family members. Employees are also eligible for additional paid time off in the form of bereavement leave, time off to vote, jury duty leave, volunteer time off, military leave, and parental leave.
