The Account Operations Specialist serves as a key liaison between clients, auction operations, and internal partners to ensure account‑specific service level agreements (SLAs) are executed accurately and consistently. This role supports the preparation, presentation, and processing of vehicles for sale, coordinates reconditioning and related services, and delivers a high‑quality customer experience while ensuring compliance with company policies, safety standards, and data privacy requirements.
Account Operations Specialists partner closely with Sales, Lot Operations, Recon, and other auction teams to manage vehicle readiness, resolve issues, and support client retention and growth.
Primary Responsibilities & Essential Functions
Client & Account Support
- Serve as a point of contact for assigned accounts, ensuring SLAs and client requirements are met
- Communicate with clients regarding vehicle condition, reconditioning recommendations, and service approvals
- Provide professional, timely responses to client inquiries and issues
Vehicle Preparation & Sale Support
- Review vehicles in sale lineup to ensure readiness, accuracy, and proper placement
- Coordinate vehicle movement and reconditioning activities with Lot Operations and Recon teams
- Audit condition reports, images, announcements, and certifications to reduce risk and ensure compliance
Operational Coordination & Compliance
- Partner with cross‑functional teams to resolve issues and support smooth auction operations
- Ensure adherence to NAAA guidelines, client standards, and internal policies
- Follow all safety procedures and model safe work behaviors
Systems, Documentation & Reporting
- Maintain accurate records, documentation, and system updates
- Utilize internal platforms and Microsoft Office tools to track work and communicate status
- Perform additional duties as assigned
Account Operations Outside Specialist I QUALIFICATIONS:
Summary
Entry‑level role focused on foundational account support, vehicle readiness, and learning auction processes and systems.
Minimum Qualifications
- High School Diploma or GED
- Generally less than 2 years of related experience
- Valid driver’s license and safe driving record
- Basic proficiency with Microsoft Office (Outlook, Excel)
- Strong communication and teamwork skills
Key Responsibilities
- Support vehicle sale preparation and lineup accuracy
- Assist with monitoring reconditioning processes
- Perform basic audits of condition reports and images
- Partner with internal teams to support client needs
Preferred Qualifications
- Prior experience in automotive, logistics, or transportation environments
- Basic auto body or reconditioning knowledge
Account Operations Specialist I (Personal Property)
Summary
Entry‑level role focused on collecting and properly storing personal property from redemption vehicles in accordance with legal and client SLA’s.
Minimum Qualifications
- High School Diploma or GED
- Generally less than 2 years of related experience
- Valid driver’s license and safe driving record
- Ability to drive vehicles with standard and automatic transmission
- Basic proficiency with Microsoft Office (Outlook, Excel)
- Effective communication, organization and teamwork skills
Key Responsibilities
- Review and report mileage missing in vehicle records.
- Collect and properly bag personal property from repossessed vehicles.
- Maintain log of inventory and disposal of materials according to state and client compliance requirements
- Communicate with Lot Operations and Commercial Service Coordinators to ensure appropriate scanning and movement of vehicles.
- In coordination with account representative, account administrator, and account specific procedures prepare sale vehicle run process including run order, scheduling, notice to customer account, etc.
- Help locate missing vehicles.
- Perform other duties as assigned by management.
Account Operations Outside Specialist II QUALIFICATIONS:
Summary
Intermediate role with increased accountability for account execution, vehicle quality, and client communication.
Minimum Qualifications
- High School Diploma or GED
- 2–3 years of related experience
- Valid driver’s license and safe driving record
- Strong written and verbal communication skills
Key Responsibilities
- All responsibilities of the Specialist I plus:
- Manage assigned account activities and client communications
- Review and approve vehicle repair and reconditioning recommendations
- Coordinate vehicle movement and readiness across departments
- Partner with sales teams to ensure a unified client experience
Preferred Qualifications
- Experience working directly with commercial or dealer clients
- Knowledge of auction operations and reconditioning workflows
Account Operations Outside Specialist Senior QUALIFICATIONS:
Summary
Advanced individual contributor role supporting complex, high‑volume, or high‑touch accounts.
Minimum Qualifications
- High School Diploma or GED
- 5+ years of experience, with a minimum of 5 years in the automotive industry
- Valid driver’s license and safe driving record
- Prior vehicle reconditioning or auto body experience
- Advanced knowledge of condition reports, inspections, and reconditioning standards
Key Responsibilities
- All responsibilities of the Specialist I & II plus:
- Manage complex client accounts and intricate SLAs
- Lead audits of condition reports, imaging, and announcements
- Coordinate redemptions and ensure compliance with PII policies
- Serve as an advisor to less senior team members
Preferred Qualifications
- Proven analytical skills and ability to prioritize in fast‑paced environments
- Strong cross‑functional partnership skills
Lead Account Operations Outside Specialist
Summary
Senior‑most individual contributor and escalation point for complex client issues and account operations.
Minimum Qualifications
- High School Diploma or GED
- 5+ years of experience in a related field, with 5+ years in the automotive industry
- Prior vehicle reconditioning or auto body experience
- Valid driver’s license and safe driving record
- Advanced knowledge of condition reports, inspections, and reconditioning standards
- High proficiency with Microsoft Office and internal systems
Key Responsibilities
- All responsibilities of the Specialist I, II & Sr plus:
- Serve as escalation point for complex client and operational issues
- Lead resolution of multi‑department account challenges
- Support VIP or highly complex accounts
- Provide coaching, training, and workflow guidance to less senior specialists
- Contribute to SOP development and process improvement
Preferred Qualifications
- Bachelor’s degree in Business or related field
- Six Sigma Yellow Belt or continuous improvement experience
Physical & Work Environment (All Levels)
- Combination of outdoor auction environment and office work
- Frequent walking, standing, and vehicle entry/exit
- Ability to operate vehicles with standard and automatic transmission
- Exposure to weather conditions and moderate noise levels
Drug Testing:
To be employed in this role, you'll need to clear a pre-employment drug test. Cox Automotive does not currently administer a pre-employment drug test for marijuana for this position. Compensation:
Hourly pay rate is in the range of $20.00 - $30.00/hour. The hourly base rate may vary within the anticipated range based on factors such as the ultimate location of the position and the selected candidate’s knowledge, skills, and abilities. Position may be eligible for additional compensation that may include commission (annual, monthly, etc.) and/or an incentive program.
Benefits:
Employees are eligible to receive a minimum of sixteen hours of paid time off every month and seven paid holidays throughout the calendar year. Employees are also eligible for additional paid time off in the form of bereavement leave, time off to vote, jury duty leave, volunteer time off, military leave, and parental leave.
