Position Summary
The Title Clerk II is responsible for the accurate and timely processing of vehicle title transactions while ensuring compliance with state regulations and company procedures. This role serves as a subject matter expert in title administration, including title review, reassignment, release, follow-up, and issue resolution. The Title Clerk II works closely with clients, regulatory agencies, and internal departments to ensure titles are processed efficiently and accurately while providing exceptional customer service.
Essential Duties and Responsibilities
- Review vehicle titles and supporting documentation to ensure accuracy, negotiability, and compliance with state-specific requirements.
- Properly execute title assignments, reassignments, and releases for buyers and sellers.
- Prepare and submit applications for duplicate, corrected, and new titles on behalf of clients.
- Complete repossession affidavits, correction affidavits, and other title-related documentation as required.
- Research, troubleshoot, and resolve title discrepancies, ownership issues, and lien-related concerns.
- Serve as the primary point of contact for client inquiries regarding title status, requirements, and title-related concerns, escalating issues when appropriate.
- Communicate and collaborate effectively with Department of Motor Vehicles (DMV), Bureau of Motor Vehicles (BMV), and other regulatory agencies to resolve title matters.
- Monitor title aging reports and follow established procedures to ensure timely title acquisition and release.
- Process and review client-submitted documentation to facilitate title follow-up and resolution.
- Evaluate title release requests and determine appropriate actions in accordance with company policies and state regulations.
- Accurately post state fees and related charges to vehicle records.
- Submit payment and check requests for state work through Oracle and other designated systems.
- Maintain accurate records and documentation of all title transactions and communications.
- Stay current on title regulations, state requirements, and departmental policies and procedures.
Knowledge, Skills, and Abilities
- Strong knowledge of vehicle title processing, title laws, and state-specific title requirements.
- Ability to identify title brands, liens, ownership discrepancies, and other notations affecting title negotiability.
- Excellent organizational skills with a high degree of accuracy and attention to detail.
- Strong analytical and problem-solving abilities with the capability to independently resolve complex title issues.
- Effective verbal and written communication skills with a customer-focused approach.
- Proficient keyboarding and 10-key data entry skills.
- Ability to manage multiple priorities and meet deadlines in a fast-paced environment.
- Working knowledge of Microsoft Office applications, including Outlook, Word, and Excel.
- Ability to maintain confidentiality and handle sensitive information appropriately.
Education and Experience
- High School Diploma/GED and 3 years’ experience in a related field. The right candidate could also have a different combination, such as any level degree/certification beyond a HS diploma/GED in a related discipline and up to 1 year of experience; or 5 years’ experience in a related field.
- Previous experience working with DMV/BMV regulations and title documentation required.
- Proficiency in Microsoft Office Suite (Outlook, Word, Excel).
Physical Requirements
- Ability to sit, stand, and work at a computer for extended periods.
- Ability to perform repetitive data entry and document handling tasks.
- Ability to occasionally lift and move files or documents up to 20 pounds.

To be employed in this role, you'll need to clear a pre-employment drug test. Cox Automotive does not currently administer a pre-employment drug test for marijuana for this position. Compensation:
Hourly pay rate is in the range of $18.17 - $27.31/hour. The hourly base rate may vary within the anticipated range based on factors such as the ultimate location of the position and the selected candidate’s knowledge, skills, and abilities. Position may be eligible for additional compensation that may include commission (annual, monthly, etc.) and/or an incentive program.
Benefits:
Employees are eligible to receive a minimum of sixteen hours of paid time off every month and seven paid holidays throughout the calendar year. Employees are also eligible for additional paid time off in the form of bereavement leave, time off to vote, jury duty leave, volunteer time off, military leave, and parental leave.
