Summary:
The Lead Title Specialist (LTS) position is an advanced role responsible for handling all Title Specialist I, II, and Senior tasks and all Document Agent I and II responsibilities. The LTS is responsible for the accurate and efficient processing of vehicle titles by verifying title information is correct; interacting with clients and regulatory agencies to resolve title issues, and maintaining knowledge of current US title regulations. Additional responsibilities will include, but are not limited to: extensive knowledge of all departmental policies and procedures, title release processes, follow-up on all title release types, training of new hires, and cross-training team members. The LTS candidate must have schedule flexibility to cover various shifts (early and late) when team members, supervisors, and manager are absent, or as necessitated by the business.
Essential Duties and Responsibilities:
- Process/sort/deliver incoming mail
- Data entry
- Prepare titles and associated documents for scanning
- Scan/verify/associate titles to barcoded folders
- File and retrieve folders in a secured vault
- Print waybills and ship outgoing titles
- Clean and maintain equipment and office supplies
- Review titles for negotiability, sign, and reassign titles on behalf of clients as sellers and buyers
- Complete application for new title on behalf of clients as needed
- Facilitate lien perfection on NextGear Capital financed collateral when required
- Release NextGear Capital liens on collateral in accordance with company policy
- Answer communications from all clients on title questions and issues to resolution
- Troubleshoot and resolve title issues on behalf of all clients according to state specific title requirements
- Communicate effectively with BMV/DMV agencies
- Handle client and auction escalations to provide immediate resolutions
- Monitor aging of titles following departmental procedures and policies
- Process documents received by clients to complete title follow-up
- Process ACH payments for non-compliant vehicles
- Assist in training new team members and cross training existing team members
- Research in our system applications and physical facility when errors occur to resolve issues for lost and missing titles
- Assist with supervisory responsibilities when a supervisor is out of the office or unavailable (not to include taking disciplinary action nor quarterly progress checks)
- Assist is quality auditing and subsequent team member coaching with supervisors
- Respectfully communicate and redirect team members to meet department service level agreements
- Collaborate with leadership to determine when overtime is required for the team and approve team members to work overtime when needed

Minimum qualifications:
- High School Diploma/GED and 7 years’ experience in a related field.
- OR the right candidate could also have a different combination, such as any level degree/certification beyond a HS diploma/GED in a related discipline and 5 years’ experience OR 9 years’ experience in a related field
- Proficient with Microsoft Office (Outlook, Word, Excel)
- Strong organizational skills and detail oriented
- Effective communication skills and strong customer service attitude
- Ability to recognize title brands and other relevant notations related to titles
- Extensive knowledge of title laws in all 50 states and cursory knowledge of US territories title laws
- Extensive knowledge of NextGear Capital business and Records and Titles departmental policies and procedures
- Must be a proficient user of Discover / NGEN, TMS and Perceive
- Must be willing to become an Indiana Notary
Physical Demands:
- Sitting and standing for extended periods of time
- Bending and light lifting 10 lbs. or less required
- Extensive detail handwritten and computer work

To be employed in this role, you'll need to clear a pre-employment drug test. Cox Automotive does not currently administer a pre-employment drug test for marijuana for this position. Compensation:
Hourly pay rate is in the range of $22.02 - $33.08/hour. The hourly base rate may vary within the anticipated range based on factors such as the ultimate location of the position and the selected candidate’s knowledge, skills, and abilities. Position may be eligible for additional compensation that may include commission (annual, monthly, etc.) and/or an incentive program.
Benefits:
Employees are eligible to receive a minimum of sixteen hours of paid time off every month and seven paid holidays throughout the calendar year. Employees are also eligible for additional paid time off in the form of bereavement leave, time off to vote, jury duty leave, volunteer time off, military leave, and parental leave.
