The Business Services Specialist I provides customer service and administrative support at the Back Gate, helping ensure vehicles and clients move through the release process accurately, efficiently, and securely.
This position is responsible for assisting clients with the gate pass process, verifying documentation, scanning and entering gate pass information into the appropriate systems, and identifying potential discrepancies or fraudulent activity.
When Back Gate volume allows, this role also supports Front Office operations by assisting with client service emails and other administrative or customer service needs.
Key Responsibilities
Back Gate Customer Service
- Provide friendly, professional service to clients arriving at the Back Gate.
- Assist clients with questions regarding the gate pass and vehicle release process.
- Review and verify gate passes and supporting information before vehicle release.
- Ensure required documentation is complete and accurate.
- Communicate clearly with clients when additional information or verification is required.
Gate Pass Processing & Verification
- Scan gate passes and related documentation into the appropriate system.
- Perform accurate and timely data entry.
- Verify vehicle, client, and gate pass information for accuracy and consistency.
- Maintain accurate electronic records of gate transactions.
- Follow established procedures for vehicle releases and escalate exceptions when necessary.
Fraud Prevention & Security
- Remain alert for altered, duplicated, suspicious, or potentially fraudulent gate passes or documentation.
- Identify discrepancies between documentation and information contained within internal systems.
- Follow established escalation procedures when information cannot be verified or potential fraud is identified.
- Protect sensitive client, vehicle, and business information.
- Support site security by ensuring established gate and vehicle-release procedures are consistently followed.
Front Office Support
- During periods of lower Back Gate volume, assist the Front Office with client service emails.
- Research and respond to routine client questions or route requests to the appropriate team member.
- Assist with basic administrative tasks and data entry as needed.
- Partner with Front Office team members to provide a consistent customer experience.
Drug Testing:
To be employed in this role, you'll need to clear a pre-employment drug test. Cox Automotive does not currently administer a pre-employment drug test for marijuana for this position. However, we are a drug-free workplace, so the possession, use or being under the influence of drugs illegal under federal or state law during work hours, on company property and/or in company vehicles is prohibited.
Compensation:
Hourly pay rate is in the range of $16.59 - $24.86/hour. The hourly base rate may vary within the anticipated range based on factors such as the ultimate location of the position and the selected candidate’s knowledge, skills, and abilities. Position may be eligible for additional compensation that may include commission (annual, monthly, etc.) and/or an incentive program.
Benefits:
Employees are eligible to receive a minimum of sixteen hours of paid time off every month and seven paid holidays throughout the calendar year. Employees are also eligible for additional paid time off in the form of bereavement leave, time off to vote, jury duty leave, volunteer time off, military leave, and parental leave.
